Beauty Products Distributor



Introduction

This client, whose business was marketing and distributing beauty products, had a problem with keeping track of his inventory. He was using an excel spreadsheet for keeping track of his stock, while using an off-the-shelf accounting software for invoicing. He had a full-time employee in charge of keep track of sales and stock numbers, and she could not handle the workload because of the primitive system that was used. We recommended using Odoo to for tracking his inventory, procurement and invoicing.

Mutiple stock locations

The client had 1 central warehouse, but also sales counters at several department stores. In addition, he provided goods on consignment to several other retailers. In total, he had stock in 12 different locations.

Using Odoo's Warehouse management, we recreated the various locations where he had stock within the system. The client could see the total amount of products, or view products in individual locations. At the end of each day, the staff would input the sales into the Sales module of Odoo, and by setting the sales location, the system would track the sales and stock numbers in every location.


Automated Procurement & Stock movement

Instead of taking stock daily or getting caught unawares when a product when out of stock, Odoo was able to automate the procurement process. By setting minimum stock levels on products, the system automatically created procurement orders when products quantities dropped below the minimum level. All the client had to do was approve the procurement orders.

Because the client had to maintain goods in multiple locations, we also set push-pull rules in the system - automatically created stock movement orders when a location had insufficient goods. All that was required was for the staff to check the move orders at the start of the next day to ensure delivery is made. This automation reduced the staff workload by up to 50%!

Barcode scanner integration & Product batches

By implementing product barcodes and integrating barcode scanners with his warehouse system, our client was able to manage incoming stocks by batch, and track the expiry dates of every batch of product.


Sales Reports & Profit margins

With some simple setting up the client was able to have a system that could provide him with timely reports on his sales, stock levels and profit margins - something he could not do previously using excel and another accounting software separately.
